The best-looking demo is not necessarily the easiest system for your team to operate on a busy Saturday.
Start with the biggest bottleneck
Write down whether you struggle most with printed menu updates, table mix-ups, missed counter approvals, staff handoffs, reporting or billing. Choose a trial based on that one bottleneck. Buying an entire suite without a workflow map creates more training.
Distinguish a POS from a guest-facing service layer
POS platforms may include inventory, tax invoices, settlement and payment collection. A QR-first service layer may focus on browsing, staff review and table status. Confirm exactly what is integrated rather than assuming one automatically replaces the other.
Test the least glamorous failure cases
Wrong-table scans, a sold-out item, staff login recovery, a busy connection and an accidentally closed visit are more useful demonstrations than a perfect guided clickthrough. Require role boundaries and actual data isolation evidence.
Here's what this looks like in practice.
Illustrative situation, not a claim about a real KyaLoge customer.
An owner sees a beautiful dashboard and considers replacing the existing ordering setup. Yet the counter's real problem is simply that menu changes take hours and diners keep asking for prices of sold-out dishes.
A better way to handle it
Start with a narrow menu-editing trial. Write down which bottleneck disappears, which new responsibilities appear and what is still handled by the current POS. An elaborate end-to-end switch may not be justified.
Ask each shift role to name the top frustrating step. Prioritize a tool only if it fixes a step they can demonstrate, not just an impressive demo.
Mistaking the largest feature list for the strongest operational fit.
What to check before making a decision
- 01List three operational problems and rank them.
- 02Test on older phones and tablets.
- 03Ask who handles payments and refunds.
- 04Verify pricing, exit options, privacy controls and backup procedures.
Keep the useful part.
For KyaLoge, the public tour uses sample data; a production comparison requires an approved operational pilot.
