How to Set Up Restaurant Table Maps and QR IDs

Design a simple table numbering scheme, seating zones and QR identity checks before digital ordering.

KKyaLoge Field NotesPractical editorial guidance · Published 13 October 20263 min read

The physical dining-room map is an essential piece of data. No polished interface can compensate for table numbers that change unpredictably.

THE EXPLANATION01 — 03
PART 01

Start with stable identities

Choose table labels that make sense to staff, and avoid reusing codes in ambiguous areas. If furniture moves, update the map and the printed labels together. Keep a clear reference at the counter.

PART 02

Model groups and transfers

Guests can change seats or join a larger party. Establish how staff transfer a visit, who approves changes and what happens to requests still pending. Avoid merging unrelated table visits automatically.

PART 03

Test real floor movement

Ask a waiter to find a sample order during service. Try scanning table 07 from two phones and table 08 from a copied link. Staff must be able to spot wrong-table activity before it creates a service mistake.

A SCENARIO WORTH THINKING THROUGH

Here's what this looks like in practice.

Illustrative situation, not a claim about a real KyaLoge customer.

Two tables move together for a group booking, but the digital floor map is unchanged. Waiters can see requests, but can't confidently tell which side of the room owns each one.

A better way to handle it

Treat table IDs as durable references with human-readable labels. Handle merges and transfers as explicit staff actions and retain an audit of changed visit responsibility.

TRY THIS WITH YOUR OWN TEAM

Move a group from table 04 to 09 in a test and verify open accepted items remain connected to the right visit.

The trap to avoid

Recycling QR codes whenever furniture is moved without updating the counter map.

PRINT THIS IF IT HELPS

What to check before making a decision

  1. 01Print readable table identifiers beside QR codes.
  2. 02Audit every link after furniture changes.
  3. 03Simulate a moved party.
  4. 04Close and reopen visits only under authorized staff rules.
THE TAKEAWAY

Keep the useful part.

Any live deployment needs tenant-safe table tokens, staff approval and reliable operational recovery.
